Questions
What is the best scheduling software?
For a link people book a meeting on, Calendly, SavvyCal, Cal.com, YouCanBookMe, TidyCal and Doodle are the field, and two are already in a suite you may pay for (Google Workspace, Microsoft 365). For a service business with services, staff, deposits and reminders, Acuity, Setmore, SimplyBook.me, Square Appointments, Zoho Bookings and Vagaro are a different kind of tool. The quiz asks what people book first, then compares at your team size.
How much does scheduling software cost?
From nothing (Calendly, Cal.com, SavvyCal, Setmore, Zoho Bookings, Square Appointments, Doodle and more publish a free tier with one booking link) to $10 to $20 per user a month for a team, with the service-business tools at $16 to $50 a month flat. Nearly every scheduler charges per user, so the order changes as the team grows, and a flat tool overtakes the per-user ones once a few people share it.
Is the free plan enough?
For one person with one kind of meeting, usually yes: one booking link, one calendar, the reminders. The paid plans buy a second event type, a team page, round robin, payment at booking, SMS reminders and removal of the vendor's branding. The product pages say which plan unlocks which.
Do these platforms offer a free trial?
Square Appointments, Microsoft Bookings and Vagaro give you 30 days, in most cases with no card required. Calendly, Acuity Scheduling, Cal.com, YouCanBookMe, SimplyBook.me, Zoho Bookings, Google Calendar appointment schedules, Appointlet, OnceHub and GoHighLevel give you 14. The rest are demo-led with neither, which is worth knowing before you get attached to one.
Are these affiliate links?
Some of them, and it is marked clearly on every recommendation. It does not change what the quiz returns. Where two platforms score within a few points of each other the cheaper one wins, and several of the platforms recommended here pay nothing at all.
Who is behind this?
Dave Crawford. He builds operations and automation systems for small service businesses, which means he has spent a lot of time inside tools like these with real clients rather than reading their marketing pages. The prices here are checked against each company's own pricing page and rechecked weekly.
